Get a sign-off

By the end you will have a signed record of what the review decided, with the name of the person who signed it and when.

Before you start: you need a review that has been sent. See Send pages for review.

How it works

A review produces comments. Most need no discussion. Some are really a choice between two or more options, and someone has to make it. Those are decisions.

You draft the decisions. One person, the approver, answers them and signs the whole list at once. Nothing is ever approved automatically.

Name the approver

The approver must be one of the reviewers. You can name them under Final say when you send the review, or later from the Decisions panel on the flow page. There is one approver per review. Naming someone new replaces the previous one.

Draft the decisions

  1. On the flow page, find the Decisions panel, below the reviewers.
  2. Under What has to be decided?, write the question.
  3. Optional: under From a comment, pick the comment it came from. Its words become the first option.
  4. Click Add. Decisions are numbered D1, D2 and so on.

On each decision you can pull in more comments with Add a comment, mark one option as recommended, or Discard it. Discarding keeps the comments behind it.

Send for sign-off

  1. Close the review. Reviewers can still edit their comments while it is open, so sign-off waits until it is closed.
  2. Click Send to your approver for sign-off.

The approver gets an email that opens the sign-off page directly, with no account needed.

What the approver does

For each decision they can choose an option, add a note, or leave it. Then they either:

  • click Sign off on all, which puts their name and the time on the record, or
  • click Send back with a note saying what needs changing. Your decisions stay editable.

Signing cannot be undone by the approver. You get an email either way. When the list is signed, each reviewer whose comments fed a decision gets one email saying so.

If nothing happens for a week, the approver gets one reminder. A week after that, you get a note that it is still waiting. Then nothing more.

The record

The review's Summary holds the record: each decision, the options with who proposed them, the approver's choice, and the signature. If you reopen a signed review, the signature is cleared and has to be given again. The old signature stays listed in the record.
